POSITION SUMMARY:

The Northwest Montana Association of Realtors (NMAR) is looking for a vibrant and enthusiastic Office Manager. NMAR is a large Association with over 1300 members as well as affiliates associated with real estate that all need personalized attention! The Office Manager is responsible for ensuring superior customer service to the membership as well as maintaining successful operations of the office. This position performs a wide variety of administrative functions with minimum guidance. Our successful candidate will be the first face of NMAR, cheerfully answering the phone, greeting walk-ins, assisting in registering for classes and generally acting as the central point of contact for all association members. The Office Manager would present a professional and competent image and be knowledgeable about the real estate industry nationally as well as locally.

ESSENTIAL FUNCTIONS (Summary)

Customers

  • Greets and assists walk-in customers
  • Answers phone, responds to members with questions, aids in problem-solving, and addresses concerns promptly and effectively
  • Participates in staff meetings and professional development opportunities as available
  • Order office supplies as needed, including Store Inventory
  • Open, sort, and distribute incoming correspondence

Members

  • Primary contact who assists new member with their application, our policies, web access and lockbox
  • Coordinates new member orientation and ensures proper dissemination of materials
  • Maintains an accurate member database and serves as the main point of entry promptly records all additions and changes
  • Inputs all new members into the database system(s) and develop monthly reports of new, and terminated members for EO review
  • Keeps all members’ information current in membership database, lockbox, and M1 systems (NAR)
  • Manage files and records
  • Assists with general membership functions
  • Develops and improves affiliate packages to promote and maintain membership
  • Coordinates new member welcome packages
  • Lead responsibility for lockbox system
  • Ensures the EO is informed of any problem with the system or membership

Hospitality Coordinator

  • Responsible for organization and appearance of office building
  • Continually work to enhance logistics of all events that take place at NMAR
  • Serve as primary coordinator for onsite event needs, including setup, registration, catering and audiovisual
  • Review post-event evaluations and provide input on opportunities for improvement
  • Maintain office equipment and troubleshoot problems

QUALIFICATIONS:

  • Two years related experience is preferred
  • Excellent written and verbal communication skills
  • Exceptional listening skills and patience
  • Knowledge of Microsoft Office applications, Google products and electronic efficiencies
  • Ability to multi-task and successfully problem solve
  • Project a positive, energetic, and professional image
  • 10-Key Proficient
  • Maintain confidentiality

WORK ENVIRONMENT AND PHYSICAL DEMANDS:

  • Must be able to lift and carry supplies weighing up to 30 pounds.
  • Must be exceptionally outgoing, warm and friendly
  • Must be reliable, dependable, creative and trustworthy
  • Ability to speak concisely and effectively communicate in person and on the phone
  • Should be able to work well as a team member but still make independent decisions

SALARY AND STARTING DATE

Compensation for this position will be based on qualifications and experience, with a starting rate of $18 an hour. This is a full-time position, less hours per week are negotiable. Generous benefits include healthcare services, vacation, and sick leave.
