The Watertown Community Foundation (WCF) (file:///C:/Users/hleary/Desktop/download.htm) seeks an Executive Assistant who is passionate about Watertown, Massachusetts to be the right hand of the Executive Director in administering the work of the Foundation. This position is an hourly position for up to 10 - 15 hours/week on average over the year. The ideal candidate is someone who has close connections to the community who is looking for fulfilling part time work. The position is mostly remote but will require some in person meetings and events. WILL ONLY CONSIDER CANDIDATES WHO ARE (OR SOON WILL BE) LOCATED IN OR AROUND THE WATERTOWN, MA AREA.

The Watertown Community Foundation (WCF) (file:///C:/Users/hleary/Desktop/download.htm) is a 501(c)(3) public foundation that works to build and sustain a vibrant, close-knit community in Watertown, Massachusetts — now and for future generations. WCF works closely with non-profit organizations and leaders in the philanthropic, civic, business, and public sectors for the greater good of Watertown.


Administrative Duties and Responsibilities include the following:


  • Calendar management for executive director, board and committees.
  • Administering the WCF grants process including gathering and tracking grant applications, grant agreements and grantee reports.
  • Assisting with donor communications including email, producing annual appeal letters and acknowledgement letters
  • Assisting with board administration including preparing materials and taking minutes
  • Coordinate volunteers for service events, donation drives, assisting community volunteer matching program (Mutual Aid) and communication about volunteer opportunities.
  • Assisting with fundraising events as needed.
  • Serve as a back up for processing donations, gifts (checks, credit cards, wired, stock, in kind) and grants including online gifts.
  • Perform other duties as needed.

Knowledge, Skills and Abilities:

  • Prior Administrative experience.
  • Proficiency with Office 365, including Sharepoint.
  • Proficiency in donor database platforms preferred.
  • Strong organizational skills and attention to detail.
  • Customer service orientation and collaboration
  • Ability to maintain a high degree of confidentiality
  • Knowledge of Watertown Community. .

Qualifications:

  • Bachelor's degree or equivalent experience.
  • Minimum of 2 years experience in one or more of the following fields: development, customer service, nonprofits, and/or administration.

Compensation will be hourly at $25/hour. The position will commence immediately. Number of hours per week will fluctuate but will generally range between 10-15 hours depending on need.
