First Step Therapy provides Early Intervention of through out the state of Florida. We service children with referrals through the Florida Early Steps Program.

This position is a FULL-TIME position in a virtual home setting.

*Bilingual not required but a plus.

Candidate must be honest and have Outstanding and Professional customer service and communication skills. Must be able to work independently.

Responsibilities

  • Provides administrative support by maintaining database of information specific to various areas of the Early Steps Program.
  • Establishes rapport and a continuous relationship with staff and supervisors.
  • Carries out extensive documentation, data gathering, and billing procedures as required by the office guidelines or Early Steps program.
  • Receives and processes all incoming referral phone calls, faxes and emails
  • Researches child's information in the program database to review whether this child is currently or has previously been an open case to avoid or duplicate the information of the patient.
  • Researches child's information in the EMR System ( Therabill), Availability or Elegipro system to check demographic or insurance information to see if information provided match, if the child had change his/her insurance cover to complete and track appropriate correspondence.
  • Creates child's electronic and paper record as soon as you received referral or within 24 hours.
  • Maintains reasonably regular, punctual attendance consistent with First Step Therapy LLC.
  • Maintains compliance with all First Step Therapy LLC policies and procedures.
  • Attends interagency meetings, in-services training programs and team meetings.
  • Participates with the team in program planning and development; defining and implementing departmental objectives, procedures and policies; and ensuring the continuous improvement of services.
  • Collaborates with the team to ensure the integrity and organization of the documentation and process chart filing/electronic systems.
  • The Administrative Assistance Coordinator staff member must be able to demonstrate the knowledge and skills necessary to complete the whole process of a referral.
  • Maintains electronic communication with Family Care Coordinator, providers, administrator and supervisor to ensure the appropriate distribution of referrals, POC, initiation form and other documentations.
  • Maintains an electronic tracking system of attempts to contact caregivers or referral sources in response to referrals and voicemail messages that have missing information making it impossible to open a child's record.
  • Demonstrates an open, honest, caring and committed communication style.
  • Practices efficient use of appropriate supplies and equipment.
  • Ability to travel to central office or work locations is required during your three week training.

JOB REQUIREMENTS

  • Positive attitude and attention to detail is a MUST
  • 2 years medical office experience.
  • Scheduling, cancellation management
  • 2 years customer service experience.
  • Knowledge of HIPAA (Health Insurance Portability and Accountability Act)
  • Knowledge of general office equipment
  • General mathematical skills
  • Great organizational skills
  • Excellent verbal and written skills
  • Must be detail oriented
  • Must be self motivated to fill various job responsibilities and willingness to cross train to other departments.
  • Hours 8am to 6pm availability

Experience:

  • customer service: 2 years (Preferred)
  • healthcare: 2 years (Preferred)
  • Receptionist: 2 years (Preferred)
  • Bilingual Spanish candidates are welcome

Education:

  • High school or equivalent (Preferred)

Job Type: Full-time

Pay: From $12.00 per hour
