Bookkeeper/Admin Assistant

Job Purpose:

We are an Accounting firm located in Baltimore, MD looking for a motivated Bookkeeper/Admin Assistant to join our team. With an emphasis on customer service, this firm provides personalized tax planning and preparation for individuals and small businesses, as well as payroll, accounting and compilations for small businesses.

We have been in business for 11 years and have had good growth and now need more team members to help with the growth.

You will provide our clients with exceptional customer service through accounting and administrative duties such as scheduling, providing price quotes, obtaining e-signatures on completed projects, maintaining organized files, entering invoices, processing payments received and performing other office duties as necessary. It is important to keep client communication routed to the correct person and distractions off the accountant’s and owner’s plate.

Core Job Responsibilities:

ADMIN

 Scheduling Client appointments and answering inquiries

 Manage CEO’s calendar to ensure timely completion of all tasks

 Submitting e-signature requests for completed projects

 Organizing and maintaining client files

 Review client projects for missing information and send client requests.

 Gather and send bookkeeping documents for outsourcing

 Staff Meeting Agenda and Notes

 Purchase thoughtful client gifts for celebratory occasions (new baby, new home, etc.)

 Updates company handbook when necessary

 Performs other related duties as requested or assigned

Accounting Executive Assistance
A/R: Prepare client invoices, process bank ACH and credit card payments, answers client inquiries, maintains all A/R files in a timely manner

A/P: Process bills, receipts; answer vendor inquiries; maintains all A/P files in a timely manner

 Record day to day financial transactions and complete the posting process

 Logging and Plotting Revenue Statistics

Required Qualifications:

Data entry skills along with a knack for numbers
Proficiency in English and in MS Office
Customer service
Solid understanding of basic bookkeeping and accounts payable/receivable principles

Job Type: Part-time

Salary: Based on experience and production.
