Position Summary

The Service Administrator assists the Service Manager in maintaining accurate and on-time reports and records relative to the service department’s operation within the dealership. The Service Administrator works with customers in the store alongside a network of John Deere technicians and technology support staff that have a common passion for agriculture, adding value and improving the customer experience. Answers customer inquiries about service work billing. Prepares and manages work orders to ensure technicians have work in front of them. Manages daily time punches for service techs. The Service Administrator will also assist the Service Manager with tasks and projects as needed.

Essential Job Functions

  • Assist the service manager in maintaining accurate and on-time reports and records relative to the service department
  • Field internal and external customer inquiries to the Service Department– both in terms of phone calls and walk in customers
  • Create work orders as directed by the Service Manager/Shop Supervisor and maintains control until they are closed and invoiced
  • Updates customer profiles using equipment, hours, or other information from the customer work order
  • Complete all Service Department filing and record keeping needs
  • Maintains accessories and supplies and prepares replacement orders
  • Prepare Service Technician efficiency reports
  • Process warranty and/or product improvement claims including the computation of charges, submission, and follow-up
  • Receive setup and sales requests from Sales & File Bound
  • Complete administrative functions for store as assigned
  • Approve and Forward Payables to the BRAIN/AP
  • Monitors cash work orders and communicates with the Service Manager and Technician to ensure that equipment with an unpaid work order does not leave the dealership
  • Processes Service Department warranty claims and PIP’s. Submits claims to the manufacturer and follows up to ensure payment is received
  • Work closely with the District Administrator for Kibble Support and District Operations

Experience, Education, Skills, and Knowledge

  • General knowledge of accounting practices and Basic knowledge of office procedures
  • Proficient in Microsoft Office Products (Outlook, Word, Excel)
  • Ability to effectively communicate with employees and customers, both in a one-on-one and group settings
  • Strong organizational skills and the ability to stay on task independently
  • Associates or bachelor’s degree preferred
  • High School Diploma, GED, or equivalent experience required; Associates degree preferred

  • Customer service: 3 years (Preferred)
