Job Title: Project Coordinator

SUMMARY: Provides technical and administrative support to the Architecture and Engineering division, while developing increased technical and project management skills. The ideal candidate will have the capacity to complete a range of tasks within any given day – from the most basic of copying and filing, to the careful and complex work of generating a $500K invoice. This is a primarily remote role with a Southern California (Irvine) location requirement.

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other job-related duties may be assigned in conformance with state and federal regulations.

Core functions:

· Assist managers with administrative support of multiple projects from initiation to close-out.

· Join managers on client kick-off calls and assist with documenting and reporting on program expectations/requirements. And partner with managers to address client comments.

· Assist Client Services with project set-up and Client Delivery with project delivery.

· Research prior project information, research prior reports and track project process.

· Assist with resolving general issues regarding point of contact(s), site information, client delivery and field management. Assist with client follow-up with regards to projects on-hold or awaiting final deliverables.

· Track and report multiple simultaneous project statuses across multiple platforms and tracking systems.

· Perform special projects as assigned by the Program Managers to capture additional requirements or satisfy client needs.

· Utilize Excel to develop basic spreadsheets with basic calculation functions.

  • Function under minimal supervision and interface frequently with all levels of the organization.
  • Contribute to the successful completion of project initiatives and demonstrate initiative and problem-solving skills.
  • Maximize proficiency in using a server-based network for retrieve of files, and in using the Internet in general. Experience with web-based programs (such as web-based file transfer programs, or Oracle, etc.) would be helpful.
  • Set up and edit specifications that have been red marked by our Reviewers.
  • Interact with cross-functional Project Development Team Members regarding content and delivery of projects.
  • Assist Project Director by performing a multitude of administrative duties and special project budgets.

In addition, you will:

· Protect operations by keeping company information confidential.

· Deliver outstanding customer service through timely response and proactive solutions to clients needs.

· Demonstrate BV’s guiding principles in support of the company's strategic goals.

· Follow all documented policies, Standard Operating Procedures, and Work Instructions applicable to the position and support of BV's quality standards and strategic initiatives.

· Maintain safe and clean work area by complying with all procedures, rules, and regulations.

· May be required to work overtime.

· Work in a constant state of alertness and safe manner.

· Possess the ability to use and skillfully operate a computer is essential to this position.

· Successfully work from remote location.

SUPERVISORY RESPONSIBILITIES:

This job does not have specific supervisory responsibilities.

Education and/or Experience:

o Bachelor’s degree in Construction Management, Interior Design, Architecture (non-professional) or a related field is preferred: years of experience and certifications in lieu of degree will be given consideration.

o 2+ years of logistics, scheduling, and coordination experience.

o 2+ of experience in a customer service, data analytics, and/or project support role is preferred but not required.

o Experience in commercial real estate, architecture, or engineering industry is preferred.

o Very proficient computer skills are required.

o Moderate to high degree of proficiency in Microsoft Office (Excel, Word, PowerPoint) and Microsoft Project. Example: MS Excel Function proficiency: Pivot Tables, lookup to if(s), ifcount(s), data validations, conditioning, etc.

o Highly proficient internet navigation skills including being able to locate obscure data preferred.

Other Qualifications:

o Must have a cell phone and supply your own internet service.

o Must be able to work from a remote location.

o Excellent time management skills including ability to perform multiple priorities in a fast-paced environment and ability to work independently.

o Ability to individually prioritize and handle a large workload, when necessary, at a steady pace

o Able to effectively coordinate several projects simultaneously.

o Demonstrated ability to work well under pressure and attention to detail is required.

o Demonstrates effective written and oral communication skills.

o Ability to work in a fast-paced environment in a calm and professional manner.

o Ability to work diligently under minimal supervision and able to work with all levels of the organization.

Pay: $65,000.00 - $80,000.00 per year
