Summary of Job Duties:
The Assistant to the Vice Chancellor for University Advancement is a key, strategic role that advances fundraising, alumni engagement, donor relations, communications, and other activities. This position is primarily responsible for supporting operations for the University Advancement Division with the majority of the duties taking place in the Office of Alumni and Development and reports directly to the Vice Chancellor for University Advancement. This position provides administrative support to other senior staff members as needed. The Senior Research Assistant performs a variety of general and specific office functions of a responsible and complex nature centering around activities of Alumni and Development. This requires a fundamental knowledge of university functions and advanced knowledge in areas of direct responsibility.

Qualifications:
Required Education and Experience:
  • Bachelor Degree;
  • 1-3 years experience in an administrative position.
Job Duties and Responsibilities:
  • Manage daily internal business operations for University Advancement;
  • Work with the Associate Vice Chancellor of Advancement Services regarding processing expenses and budgeting, including processing requisitions and expense reports;
  • Proactively manage the Vice Chancellor of University Advancement’s calendar and schedule.
  • Communicate with internal and external stakeholders on behalf of the Vice Chancellor for University Advancement;
  • Assist with details for University Advancement meetings including but not limited to UA Little Rock Foundation Fund Board, Alumni Board of Directors, and Centennial Campaign Cabinet Meetings by putting together agenda packets, ordering food, arranging parking, attending meetings to set up and to take minutes, transcribe minutes, and maintain and update minute books, etc;
  • Prepare and modify documents including correspondence, donor thank you letters, reports, memos, and emails for the Vice Chancellor of University Advancement;
  • Assist the Vice Chancellor with his portfolio of donors and prospective donors;
  • Assist with travel arrangements for the Vice Chancellor of University Advancement and other Senior Leadership.
  • Complete and submit Spend Authorizations prior to trip and Expense Requests for reimbursement following return from travel;
  • Compile a list of requests from charitable organizations for sponsorship, table, and ticket purchases for external events and lists of probable attendees ahead of purchasing sponsorship to determine if sponsorship is appropriate;
  • Act as the building manager of the Bailey Alumni and Friends Center to oversee the daily operations and maintenance of the building including but not limited to HVAC, Lighting, Sprinkler Systems, and Housekeeping, to ensure the building stays presentable and in shape for donors and guests. Also, make sure that the kitchen stays stocked and tidy for donors and guests;
  • Answer phone and emails from donors and clients and direct them to relevant staff and greet guests as needed;
  • Handle billing for the use of the Bailey Alumni and Friends Center facilities. Create and email invoices to responsible parties.
  • Create a spreadsheet to track outstanding invoices, payments, and deposits related to billing;
  • Scan yearly inventory items for the Office of Alumni and Development, resolving any outstanding inventory issues as needed;
  • Run errands for the Office of Alumni and Development including but not limited to printing services, mail services, chancellor’s office, and other off-campus errands for committee meetings and events;
  • Engage with and support the Office of Alumni and Development Senior Leadership Team in the fundraising process by managing all stewardship and recognition programs for our highest-level donors, providing excellent relationship management and prompt follow-up;
  • Ensure proper donor stewardship including follow-up meetings, drafting proposals and reports for the Vice Chancellor of University Advancement portfolio;
  • Provide background research and materials that will provide support for the Vice Chancellor of University Advancement in meeting with donors and on-campus constituents. After meetings ensure contact reports and other appropriate information is recorded and filed;
  • Manage membership roster, recognition, and benefit implementation of leadership-giving societies;
  • Act as the main point of contact with Human Resources regarding staffing, hiring, recruiting, and onboarding new employees;
  • Assist with other duties as assigned by the Office of Alumni and Development Senior Leadership Team;
Knowledge, Skills, and Abilities:
  • Ability to work in a team environment to develop solutions and ensure adherence to set goals and milestones;
  • Ability to work independently and exercise sound judgment, taking ownership and initiative with minimal direction;
  • Experience working with budgets and basic financial budget concepts;
  • Ability to think analytically, be accurate, well organized, and exercise sound judgment in decision-making within the scope of job duties;
  • Experience working in a fast-paced environment; commitment to completing tasks on time and to the highest ethical and professional standards;
  • Able to interact comfortably with senior executives and develop collaborative relationships throughout the University;
  • The ideal candidate will have familiarity with Advancement and fundraising in a higher education setting;
  • Strong verbal and written communication skills.
