Under the direction of the Director of Sustainable Materials Management, this position is accountable for assisting in the daily administrative activities needed to run the Sustainable Materials Management Division of the Newton Department of Public Works. The division oversees residential curbside trash, recycling, and yard waste collection and operates the Newton Resource Recovery Center. Tasks are primarily administrative in nature and will need to be performed in the Division office.

Provide administrative support to ensure efficient operation of the Sustainable Materials Management Division.

Prepare, send, and track compliance letters for residential curbside collection.

Communicate via phone and email with customer service center staff regarding residential curbside collection service disruptions.

Maintain supply inventory within division operations, including supplies for the Resource Recovery Center: anticipate supply needs, place supply orders.

Organize paper records, file weekly and monthly paperwork.

Track weights and costs of collected materials in existing spreadsheets.

Gather information from neighboring communities’ materials management programs.

Perform data entry tasks and compile data from existing files upon request.

Assist with other administrative tasks as needed.

Work schedule is from 10am-2pm Monday through Friday. Schedule flexibility is negotiable for strong candidates, though please note that a daily in-office presence is necessary for the primary tasks of this position.

Qualifications:

  • High school diploma or equivalent required.
  • Some college or trade school education is desirable.
  • Well qualified candidates will have 1-3 years of administrative assistant experience.
  • Must have the ability to follow oral and written instruction.
  • Must be organized and proficient in MS Outlook, Word, and Excel.
  • Must be able to complete administrative tasks in an efficient and effective manner with strong attention to detail.
  • Strong time management skills required.
