Administrative Assistant position is available with The City of Fort Worth Fire Department. The Fort Worth Fire Department protects one of the fastest growing metropolitan areas in the country with a wide range of services, including: emergency preparedness, education, prevention and response. The ideal candidate must have the ability to work in a diverse work environment, be a self-starter, able to take initiative over work tasks, highly organized, detail oriented and adaptable to changing situations. The ideal candidate will also have experience with different types of governmental purchase mechanisms such as credit cards, single one-time payments, purchase orders, contract purchases and drafting PS contracts.

The Administrative Assistant Job responsibilities include:

  • Respond to requests for information from supervisory staff, employees, or general public.
  • Answer questions related to the department's activities, programs, policies, and procedures.
  • Contract renewals and drafting PeopleSoft Contracts as well as Cooperative Purchasing contracts (COOP's) such as HGAC, GSA, BuyBoard, etc.
  • Prepare bid information, and coordinates with staff for purchasing. Work with various vendors in regards to quotes, billing issues, credits, and invoices. Receive materials or supplies.
  • Receive, review, and create requisitions and issue purchase orders, and process single one-time payments.
  • Work with City Legal and City Purchasing in the coordination and development of contracts.
  • Monitor status of requisitions until paid.
  • Review and edit specifications received from department requestors.

Minimum Qualifications:

  • Associate's degree from an accredited college with major course work in Business Management, Public Administration, Business Administration, or a related field.
  • Four years of clerical and administration experience.

Preferred Qualifications:

  • Experienced with PeopleSoft Financial and Purchasing Systems
  • Accounts Payable experience, handling multiple contracts.

Conditions of Employment

Candidates who do not meet the Education requirement, may be considered if they have more relevant work experience than the position requires. Those selected for employment will be required to pass Pre-Employment checks depending on the position requirements. Those could include, but are not limited to: criminal background check, drug screen, education verification, etc. Criminal convictions will be considered on a case by case basis.
