We’re actively seeking a talented Senior Executive Administrative Specialist II to join our new Workforce Benefits division. This role will be hybrid and based out of either Newport Beach, CA, or Omaha, NE.

As a Senior Executive Administrative Specialist, you’ll play a key role in providing a broad range of administrative and technical support to the leadership team in the Workforce Benefits division, supporting the senior leadership team.

How you will make an impact:
Complete assigned processing, documentation and reports using knowledge of applicable systems and contacts.
Partner, collaborate and provide guidance to applicable departments and other administrative staff to support Division initiatives, meetings, or projects.
Treat and address applicable issues with utmost sensitivity and confidentiality.
Anticipate the needs of the Executive leadership team and act accordingly.
Review and update assigned calendars and organize assigned inboxes.
Serve as point of contact for all internal and external visitors and interact with them in a professional manner.
Prepare correspondence and documents as assigned using demonstrated proficiency in written communication.
Receive and respond to phone calls and emails in a professional manner.
Complete daily, monthly, quarterly and yearly organization and cleanup of written and electronic files.
Use Microsoft Excel, Word, PowerPoint and Teams to complete assignments as required.
Professionally interact with a variety of individuals at every level, from the mail room to the C-suite, and all types of external visitors.
Coordinate travel arrangements and assist with expense reports for the Workforce Benefits leadership team.
Process onboarding, offboarding and other service request ticket entry related to vendor resources as needed.
Complete miscellaneous tasks and projects, as assigned.

The experience you will bring:
6+ years administrative experience supporting senior level executives
Approachable, professional, and self-motivated individual with a positive and can-do team player attitude
Ability to make independent decisions regarding planning, organizing and scheduling work
Excellent organizational skills, ability to prioritize and handle multiple tasks, independent thinking, maintaining confidentiality, use of discretion, ability to handle time sensitive projects and adapt to changes quickly
Excellent problem solving and administrative skills to handle a wide variety of complex situations
Ability to resolve conflicts involving specific administrative responsibilities
Extremely detailed-oriented and use of sound judgment
Excellent oral and written communication skills, ability to work well with all levels of people within the organization, inter-department coordination and organization skills
Strong experience with Microsoft Office 360 applications (Excel, PowerPoint, Teams and Outlook) and Adobe Acrobat
Proficiency in both Zoom and Teams virtual meeting facilitation required.

Base Pay Range:
The base pay range noted provides a basis to determine the appropriate offer dependent upon several factors including but not limited to geographic location, experience, skills, education and pay equity. Also, most employees are eligible for additional incentive pay.
$33.70 - $42.12 - $54.76
