IKF consists of 368 Independent living apartments, 32 Assisted Living Apartments, 32 Memory Support Assisted Living Apartments and 45 Skilled Nursing beds.

Position Summary:

This position is primarily responsible for coordinating maintenance operations and functions of the community: administrative tasks, expansion project documentation and communication to stakeholders. Additional duties include administrative support.

Position Requirements:

One (1) to three (3) years' experience; or equivalent combination of education and experience. Incumbent should be able to apply common sense understanding to carry out instructions furnished in written and oral form, possess high-quality verbal and written communication ability, strong ability in planning and interpersonal, logistical and organizational skills. Must be proficient in the operation of computer applications such as Microsoft Office and Publisher, various office machines including multi-line telephone, calculator, copying machine, fax, etc.

Key Responsibilities:

Property Management Responsibilities:

Processes incoming maintenance requests and distributes to workers as appropriate.

  • Obtains work request from residents and staff via voicemail, emails and through other types of communications.
  • Notifies Facility Services leadership of any outstanding or incomplete work orders that are pasted the due date.
  • Acts as departmental correspondent and notifies resident of the receipt of submitted work order in conjunction with the Property Managment leadership.
  • Maintains all aspects of the work order system, (The Worxhub). Monitors the status of work orders, schedules and reschedules work as appropriate.

Administrative Functions:

Performs clerical functions for Property Management department as well as other general office duties as assigned.

  • Performs word processing and clerical duties as requested in a timely and accurate manner.
  • Proofs all work before forwarding to resident or staff, ensuring 100% accuracy.
  • Sets up AV and IT requirements for meeting for Facility Services department.
  • Demonstrates a thorough knowledge of Microsoft Office software: Power Point, Excel, Outlook, Word, Project, and Adobe Pro.
  • Prepares and tracks purchase orders and check requests for Property Management department. Forwards to supervisor and finance department.
  • Partners with Accounts Receivable department to generate monthly ancillary charges for residents.
  • Types and distributes assigned communications (memos, meeting notes, newsletters, reports) and then distributes to key stakeholders both in and outside of the organization.
  • Creates and maintains electronic filing system.
  • Responsible for maintain multiple outlook calendars, creating meeting requests, booking meeting rooms and making luncheon/catering arrangements.

  • Exhibits professional standards through appearance and demeanor consistent personnel standards
  • Demonstrates a thorough knowledge of work assignments and performs in a manner to meet quality and timeliness objectives
  • Demonstrates knowledge and understanding of policies and procedures; seeks clarification or interpretation from appropriate supervisor when needed
  • Uses tactful, diplomatic communication techniques in all relations with others.
