Planned Parenthood of Northern New England (PPNNE) is seeking a qualified candidate to fill a full time 37.5hr/wk Philanthropy Associate position based in Portland, ME, working one to two days a week in the office and the rest remotely. Reporting to the Senior Philanthropy Officer, the primary goal of the Philanthropy Associate position is to support the work of the Philanthropy Officer Team. The Philanthropy Associate is responsible for performing a wide range of administrative and clerical duties, including but not limited to: providing support for special events, recording donor interactions, performing data entry, scheduling and information requests, preparing materials, drafting internal correspondence, managing mailings, supporting prospect research, tracking deadlines, and managing excel lists.

CHARACTERISTIC RESPONSIBILITIES

  • Record donor interactions for major gifts program, track relationships and other relevant information in the donor database in accordance with database policies and procedures.
  • General office support including data entry, photocopying, and filing as needed. This may include project-based work or ongoing responsibilities.
  • Provide support for special events including cultivation and stewardship activities.
  • Coordinate with Philanthropy Officers and help manage working with board, event hosts, or fundraising committees.
  • Work with the Development Database Operations Manager to create attributes, apply global changes, and other record enhancement techniques to ensure data integrity and accurate reporting.
  • Assist team with utilizing moves management tools in the development database, including action trackers, and proposals.
  • Support moves management between donor levels based on prospecting, data and research.
  • Manage volunteers working in office or from home on a range of activities related to Development.
  • Track and coordinate prospect research requests and input results into the database; perform internal prospect research.
  • Utilize the database to support major gift fundraising efforts, including queries, reporting and data pulls; manage excel spreadsheets and lists.
  • Work in partnership with Philanthropy Officers to prepare donor briefings.
  • Support the preparation and mailing of donor communication materials.
  • Provide logistical support for major donor and other development events. For this and other duties, they may work in concert with other development staff in order to complete Major Gifts-related work in a fashion that makes the most sense given geography and agency resources.
  • Maintain donor confidentiality and abide by the Association of Fundraising Professionals code of ethics in all fundraising activities.
  • Conform to standards of performance and conduct, including those pertaining to patient and donor rights, so that the best possible service may be provided.

QUALIFICATIONS

  • High School Diploma; Associates Degree and 1 -2 years of relevant experience.
  • Knowledge of MS Office applications.
  • Comfort with email, spreadsheets, databases.
  • Pleasant telephone demeanor.
  • High level of attention to detail and accuracy.

  • Must be willing to travel regionally for occasional meetings and events, including some occasional evenings and possible weekends.
  • Database experience; Raisers Edge preferred.

COMPENSATION & BENEFITS

  • The range of pay for this position is $19.38/hr - $26.08/hr based on years of relevant experience. Access to benefits are available such as health, dental, vision, paid time off as well as a retirement fund.
