The Patient Access Representative oversees and coordinates daily operations of the front desk/reception area of the office and ensures maximum guest satisfaction. The Patient Access Representative is the first point of contact for the organization to customers, so a commitment to high-quality service and a friendly demeanor is a must!

Responsibilities and Duties

  • Organizes and directs daily activities of the office
  • Ensures efficient, friendly, and professional patient registration, check-in/out, and phone calls
  • Prepares and coordinates schedules, and confirms appointments; issues customer reminders when necessary
  • Requests medical records, and sends notes to Primary Care Physicians (PCPs)
  • Relays all pertinent information to the appropriate staff
  • Ensures all necessary reports and forms are completed daily
  • Receives and assists with resolving patient problems/complaints as needed
  • Monitors and maintains the front desk area
  • Possesses and maintains thorough knowledge of health service administration, facilities, and HIPAA privacy policies
  • Performs other related duties as assigned by management
  • Ability to Use Positive Language

Skills and Qualifications

  • High school diploma or equivalent; Associate’s level education desired
  • One or two years of Health Administration or equivalent experience
  • Two or more years of experience in customer service
  • Must be able to speak, read, write, and understand the primary language(s) used in the workplace (English, Spanish)
  • Excellent written and oral communication skills, with customer focus
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm
  • Acute attention to detail and prioritization
  • Strong organizational, problem-solving, and analytical skills
  • Ability to understand and follow written and verbal instructions
