Job Summary


This position exists to provide administrative support to the Science, Engineering and Technology Advising Center and the college dean’s office. Responsibilities include providing support for the student advising director, academic advisors, dean, associate dean, director of college operations, development director, faculty and staff, as well as the college’s academic programs, initiatives, research, scholarly activities and other related objectives. Operating within the division of Student Success, Analytics & Integrated Planning, the position provides some support to larger university advising and student success goals.

Qualifications

Minimum Qualifications

  • Ability to use customer service skills on the phone, in person and on line sufficient to effectively communicate and elicit information with tact and diplomacy in difficult situations with parents and/or students. Ability to resolve or decrease their anxiety or anger, and manage customers' complaints tactfully and thoroughly.

  • Skill in providing lead work and directing the work of student workers to ensure adherence to quality standards, deadlines, and proper procedures, while correcting errors or problems.

  • Knowledge of word processing (such as Microsoft Word, Excel, Outlook, PowerPoint) sufficient to use software to create, format, edit, print and save a variety of documents, including but not limited to, spreadsheets, tables, charts, graphs, webpages, letters, memos, reports, meeting minutes, etc.

  • Math skills sufficient to add, subtract, multiply and divide whole numbers, fractions, decimals; calculate percentages and use simple formulas.

  • Typing/keyboarding (40 wpm/4 errors) skills sufficient to perform typing tasks with speed and accuracy

  • English (speaking, writing, reading) sufficient to perform the job duties described above using reading, writing and speaking skills and to research a variety of topics and summarize information into clear and concise correspondence and reports.

Preferred Qualifications

  • Proficiency with ARSA and ISRS (student records systems) sufficient to print degree audits, print transcripts, enter overrides, code major and advisor changes, etc.

  • Knowledge of AcademicWorks and the Scholarship Management System.

  • Knowledge of the Adobe creative suite including PhotoShop, lnDesign, Acrobat Pro and Dreamweaver

  • Knowledge of web design tools sufficient to create new, and maintain or update existing web pages

  • Ability to quickly learn and explain new procedures, protocol, policies, software applications, and web-based applications.

  • Ability to meet deadlines, work on multiple projects, and stay focused through frequent interruptions

  • Ability to pay attention to detail; accuracy is of the utmost importance at all times

  • Ability to maintain confidentiality at all times

  • Ability to maintain a professional demeanor at all times

  • Demonstrated commitment to fostering a diverse working and learning environment.

Additional Requirements

Work safely at all times, which includes but is not limited to, participating in and completing all required safety trainings, as well as performing all job tasks in accordance with Minnesota State University, Mankato policies and procedures utilizing appropriate tools, equipment and personal protective equipment.
