Job Summary:

A Service Specialist is part of a team that provides various administrative support to our clients which includes Receptionist coverage and backup coverage for various office service functions including copy, print, mail, hospitality, records, supplies & conference rooms/facilities

Essential Job Responsibilities

  • Receptionist Coverage:
  • Work closely with the client's staff to assist with front office
  • Answer incoming telephone calls and forward to the appropriate person
  • Take accurate and complete messages for those who are unavailable
  • Promptly greet and announce visitors in a friendly and business-like manner
  • Maintain a neat and organized reception desk and front lobby area
  • Order and stock supplies as needed
  • Perform other administrative duties as requested
  • Mail Services:
  • Metering, sorting, and distributing mail and accountable packages per schedule. Processing outbound and inbound overnight parcels and packages.
  • Copy Services includes accurately producing copy, print and scan projects per written instructions
  • Hospitality Services includes coordinator and upkeep of client conference rooms, common areas and kitchens.
  • Inspect and ensure that all rooms are clean, stocked with supplies and ready for continual use.
  • Organize and distribute client kitchen supplies.
  • Maintain inventory control and order supplies as needed.
  • Records Management may include
  • Prepare inactive files for offsite storage or digitization, performing file culling activities as requested
  • Assist client with retention and file transfer activities, obtaining relevant files, preparing file indexes, staging for review, and preparing for shipment
  • Assist client with clean-up activities, including triage, categorization, and appropriate storage or disposition of content

Qualifications & Requirements

  • High School Diploma or GED
  • Minimum of 2 year work experience in a customer services field
  • Ability to multitask with attention to detail
  • Ability to resolve issues with professionalism and tact
  • Ability to lift or move 40 lbs. or greater
  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to walk, bend, kneel, stand or sit for an extended period of time
  • Preferred Shift: Monday - Friday 8am-5pm / 9am-6pm

Job Type: Full-time

Pay: $20.50 - $21.00 per hour
