Job Duties/Scope Of Work
The scope of work includes a wide range of potential activities to support the HMIS Legal Department, including:
  • Assist lawyers to prepare for meetings, hearings and conferences including scheduling of interviews/meetings.
  • Assist with litigation by organizing materials and exhibits so that they are ready to produce should an attorney decide to use the information during hearings, depositions, or trials.
  • Take careful notes when talking to clients and witnesses.
  • Maintain and update all litigation matters in the Integrated Document Management System (IDMS) (record keeping system).
  • Create and publish routine reports on monthly basis and as needed.
  • Manage the office's correspondence by reviewing incoming correspondence, ensure correspondence received and documents are properly routed to legal team members, bringing urgent matters to the attention of counsel, drafting responses on behalf of counsel to third-party requests for information, union Request for Information (RFIs), Privacy Act requests, Freedom of Information Act requests, insurance billing, subcontractor outside counsel billing, and other correspondence.
  • Conduct legal research and/or investigation into legal matters.
  • Utilize software and tangible media to create charts, exhibits, and diagrams.
  • Organize and track files and/or case documents received during case litigation to ensure that there is a record of all pleadings and discovery documents were either submitted as required or received as requested.
  • Maintain office litigation calendar, schedule meetings, secure equipment, and reserve facilities needed to conduct hearings, trials, mediation, and arbitrations.
  • Draft insurance renewal applications, notify insurance company of claims, and maintain insurance documents.
  • As needed, coordinate with outside legal counsel regarding contract compliance, billings, and contract performance.
  • As needed, coordinate with Hanford Mission Integration Services (HMIS) finance department, obtain cost codes for all legal matters.
  • Perform high quality work and produce professional products.
  • Provide assistance on preparation of critical legal correspondence.
  • Review monthly invoices submitted by outside legal counsel.
  • Assist in preparation of retention agreements for new counsel.
  • Interface with finance department to establish cost codes for all legal matters.

Basic Qualifications
* AA Degree plus 2 years of professional work experience - or - an equivalent combination of education and experience.
  • Competency in MS Office Suite.
  • Experience with managing responses to data calls/requests.
  • Experience supporting investigations or legal research.
  • Strong analytical, communication and organizational skills.
  • Ability to work under pressure in a fast-paced work environment.
  • Experience providing support to administrative, legal or public hearings.
  • Experience responding to legal requests (e.g. discovery, requests for information, subpoenas).

Desired Qualifications
* Paralegal Associates degree or Washington Paralegal certificate.
  • Experience in performing litigation holds.
  • Experience with electronic data preservation, harvesting and analysis.
  • Intellectual curiosity.
  • Ability to support teammates achieve success through positive outcomes.
  • Willingness to volunteer to help the team succeed.
  • Ability to anticipate/identify organizational needs and find viable solutions to problems.

Compensation & Benefits
Grade 6: $50,825 - $64,075
Grade 8: $61,600 - $77,700
