EMPLOYEE STATUS

Non-Exempt; Hourly; Eligible for Over-time

OVERVIEW

The Leasing Agent is to assist the property manager in effectively managing the assigned community. In the property manager’s absence, the Assistant Property Manager will assume all responsibilities associated with accomplishing community objectives as set forth by the property manager and the property owner. In addition, the Assistant Property Manager is directly responsible for maintaining daily, weekly, and monthly reports including accurate reporting of rents and deposits received.


DUTIES AND RESPONSIBILITIES

Conduct all business in accordance with Sunquest Properties’ policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other Federal and state laws.


INCOME COLLECTION

  • Maintains accurate resident records and issues appropriate notices when necessary (e.g., late payments, eviction notices, returned check memos).


RESIDENT RELATIONS

  • Maintains a positive customer relations attitude.
  • Inspects property when on grounds, picks up litter, and reports any service needs to maintenance staff. Will also inspect move-outs and vacancies when requested.
  • Must be knowledgeable of all phases of leasing and resident retention.
  • Works with lease renewals each month.
  • Responsible for keeping daily records on lease renewals and terminations.
  • Greets prospective clients, shows community, and performs leasing duties.
  • Answers and handles incoming phone calls from prospective new residents, current residents, vendors/suppliers, etc.
  • Maintains awareness of local market conditions and trends. Contributes ideas to the property manager for marketing the community and improving resident satisfaction.


ADMINISTRATIVE

  • Updates required reports concerning move-out notices, activity, etc., on a daily basis and provides information to the property manager.
  • Organizes and files all applicable reports, leases, and paperwork.
  • Accepts service requests from residents and routes to maintenance for prompt processing. Conducts service follow-up with the resident when work is completed.


GENERAL

  • Performs any additional duties assigned by the Property Manager or Regional Manager. Serves as a backup for all of the Property Manager’s duties.


QUALIFICATIONS

  • Must have basic computer knowledge.
  • Position prefers 2 years of experience in residential property management.


WORK HOURS

40 hours per week Monday-Friday 8 a.m. - 5 p.m. (Saturdays when necessary).


DRIVING/TRAVELING REQUIREMENTS

  • Frequent need to utilize personal transportation to inspect the apartment community and the surrounding neighborhood, supply runs, etc.
  • Occasionally, the use of a property golf cart may be necessary.
  • Must have a valid driver’s license and automobile insurance.

REQUIREMENTS

  • Must be able to pass a drug test and criminal history background check prior to employment with Sunquest Properties, Inc.
  • Attendance is an imperative job function.
  • Employees must fulfill the performance standards of this position and comply with policies, rules, and procedures of the company, including those set out in the Employee Handbook, or otherwise communicated (verbally or in writing) to employees.


ASSISTANT MANAGER DAILY TASK

  • Check rent drop-box (daily)
  • Put an open sign out on the door, unlock the door, and open blinds (daily)
  • Post rents/payments (daily) If the manager is out.
  • Update Apartments.com (daily)
  • Print all work orders sent by residents or on-call service overnight (daily)
  • Print maintenance work order summary; find out the status of open work orders and those on hold. Follow up on priority/emergency work orders or issues (daily)
  • Enter completed work orders - enter and print new work orders as they come in – follow completed works orders with call back (daily)
  • Walk the property at least one time (daily)
  • Put all 30-day notices to vacate as received. Remember to get a forwarding address and a good phone number in case we need to reach them after moving out.
  • Enter all applications and follow up with any documents need to complete the application process. The Property Manager or Regional Manager must approve all applications
  • On ALL move-ins double-check the lease start/end dates, rental amount, and move-in packet before sending it out for signatures. The property Manager needs to check before sending the LEASE/MOVE In Packet out for signature
  • Complete Move in- and move out of tenants (Make sure all move-in files are correct before filing) Property Manager needs to check before filing
  • Walk all vacant units once a week.
