The Human Resources Assistant performs administrative duties related to the effective and efficient operation of the Human Resources Department.

1. Act as point person for the timekeeping system, answer questions and troubleshoot the digital time and attendance system. Track and maintain absence request forms and PTO calendars.

2. Perform administrative functions in support of the department, such as answering the phone and directing departmental calls, photocopying, filing, typing employment letters, proofreading documents, and processing job changes.

3. Maintain accurate and up-to-date rosters, files, records, and documentation within the department.

4. Respond to frequently asked questions from employees and applicants relative to standard policies, benefits, the hiring process, etc.

5. Conduct periodic audits of personnel files, as assigned.

6. File workers’ compensation claims, as assigned.

7. Assist in the data collection of employee information for various reports, analysis, and programs.

8. Assist with preparation of various human resource documents, policies, and forms.

9. Assist with recruitment and hiring process. This includes, but is not limited to:

a. Post jobs, internally and externally;

b. Conduct initial telephone screen on candidates;

c. Track and maintain the applicant log;

d. Perform reference and background checks; and

e. Track status of candidates and respond with follow-up letters.

10. Assist with various tasks related to the administration of the welfare benefit programs.

11. Assist with the administration of leave of absence requests, effectively applying FMLA and ADA implications.

12. Assist with the preparation of the annual performance review process.

13. Assist with planning and execution of special events such as wellness programs, denim donation days, holiday luncheons, etc.

14. Perform other duties as assigned.

Qualifications/Experience

1. High school graduate or equivalent required. Post-secondary education preferred.

2. Demonstrated knowledge of administrative and office procedures and systems through previous related work experience or education.

3. Knowledge of human resources principles and procedures preferred.

4. Absolute integrity and good use of discretion in handling and maintaining strict confidentiality of employee information.

5. Must possess excellent written and oral communication skills.

6. Must demonstrate a professional image and be able to build and maintain positive internal and external relationships.

7. Computer skills for operating in a professional office environment. Ability to compile documents and reports through Microsoft Office.

8. Proficient with or ability to learn human resource information systems and similar computer applications.

9. Ability to organize, prioritize, multi-task, and pay close attention to detail.

10. Ability to routinely operate standard office equipment such as computer, photocopier, fax machine, and multi-line telephone system.

11. Knowledge of arithmetic calculations involving addition, subtraction, percentages, decimals, fractions.

12. Ability to work a flexible schedule, including extended hours, as required.

13. Must be physically present on-site to interact with employees and other business associates.

14. Valid drivers’ license required.

Job Type: Full-time

Pay: $16.00 - $17.00 per hour
