Job Title: Human Resource Coordinator FLSA

Classification: Exempt

Department: Administration Reports To: Managing Partners

Job Summary:

Prudent is looking for a HR Coordinator to support the CFO with the day-to-day operations to help support a happy, healthy, and productive team. This position requires experience with positive employee relations and exceptional detail and organizational skills.
Essential Job Duties and Responsibilities: (Additional duties may be assigned)

  • Provides general Human Resources support to staff and Managers
  • Prepares and manages HR documents
  • Onboarding of new and yearly rehired employees
  • Organizes, updates, and maintains personnel files electronically
  • Performs data entry in Ajera system software
  • Records changes on all employee status as necessary (ex: change of address, rate increase, status change, etc.)
  • Enrolls employees in company programs (ex: health insurance, 401k, direct deposit, HSA, etc.)
  • Recruitment duties; ie: Develop job descriptions, post job descriptions, initial contact for interview set up, perform reference checks when requested by management
  • Work with payroll company and confirm any changes prior to payroll processing
  • Assist with H1-B processing of eligible employees
  • Assist with Company Insurance renewal yearly with Company Broker
  • Assist employees with paperwork regarding Federal and State programs (ex: PFML, WC)
  • Confirm Unemployment eligibility and complete paperwork for state filing
  • File quarterly Multiple Worksite Reports
  • Social Media functions; Updates to Company website, LinkedIn, Facebook, Indeed, etc.
  • Complete and publish Agenda and Meeting Minutes for Monthly Manager Meeting
  • Organize and record completion of yearly mandatory training (ex: Anti-Harassment)
  • Random Drug and Alcohol Screening for employees
  • OSHA Summary of work-related injuries and illness
  • Confirming employee driver records via LENS software
  • Assist with company functions (ex: company picnic)
  • Performs clerical and administrative activities for CFO and Owner
  • Coverage of Receptionist desk and duties when necessary

Minimum Qualification Standards:

  • Associates Degree required.
  • One (1) to three (3) years+ office experience required.
  • Proficient in MS Office Suite, Email, Internet.
  • The ability to manage multiple staff requests and work on multiple projects simultaneously.
  • Effective communication skills (verbal and written), organizational skills (analytical and problem solving).
  • Manage multiple tasks and achieve deadlines under pressure.

Knowledge, Skills, and Abilities:

  • Computer proficiency including word processing, data entry, spreadsheets, and generating reports using standard software applications.
  • Ability to maintain high standards of professional manner and personal appearance.
  • Ability to gather data, compiles information, and prepares reports.
  • Ability to make administrative/procedural decisions and judgments.
  • Ability to work independently, investigate problems, initiate solutions, work under deadline constraints, and manage multiple tasks.
  • Strong organizational skills including the ability to manage multiple projects and details simultaneously.
  • Strong verbal and written communication skills including sensitivity and ability to work with confidential information.
  • Ability to analyze and solve problems.
  • Excellent attention to detail.
  • Ability to develop and maintain accurate records and data files.

Equipment, Machines and Software Used:

Ability to operate a computer, printer, telephone, fax machine, photocopier, and postage meter.
Computer Software: Proficient in MS Office Suite, Ajera software, Email, Internet.

Mental and Physical Requirements:

  • Ability to sit, stand, walk, talk, hear, use hands to finger, grasp, handle or feel, crouch, bend or kneel, and perform repetitive motions of the hands and/or wrists.
  • Ability to exert up to 30 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
  • Close mental and visual attention required to perform a wide variety of tasks dealing primarily with operating a multi-line telephone, using a computer terminal, and filing/sorting.
