Title: HR/Training Coordinator

Location: Richmond, VA – CA Headquarters

Immediate Supervisor: Director of Operations

Classification: Salaried - Exempt

Salary: $43,000 - $48,000 annually

Part II. Position Information


Primary function of the Position:

  • Responsible for assisting executive leadership with the execution of all Human

Resource functions at CA Human Services.

  • Responsible for supporting the Human Resource function in CA's Shared Service
    Alliances.
  • Responsible for facilitating and tracking staff training to enhance organizational learning practices, knowledge, and skill acquisition across all departments.

Recruitment, Orientation & Interview Process


Responsible for all employee recruitment efforts

  • Manage Applicant Tracking System
    • Screen applicants
    • Maintain resumes/applications in line with document destruction/retention guidelines
    • Actively participate/exhibit at career fairs
  • Coordinate interview process
  • Conduct phone screens
  • Coordinate interviews
  • Assist leadership with employment offers/negotiations
    • Create offer letters
    • Communicate negotiations
  • Manage onboarding and orientation process
    • Conduct pre-employment checks (background, TB test, reference)
    • Conduct CA orientation
  • Manage offboarding process
  • Conduct exit interviews

Benefits & Employees Relations

  • Manage and process employee benefits (health, short- & long-term disability, life) including enrollment, open-enrollment, termination, and COBRA
  • Create and deliver accurate employee census to broker for insurance benefits
  • Assist leadership and broker with obtaining benefit contract bids
  • Act as a liaison with external insurance representatives
  • Reconcile monthly benefits invoices and coordinate for review with Finance
  • Assist with benefits orientation and/or re-orientation
  • Assist leadership with conducting compensation studies
  • Maintain up-to-date knowledge of local, state, and federal labor laws
  • Assist supervisors with proper documentation of performance concerns
  • Ensure regular communication with leadership regarding emergent HR concerns

Records

  • Manage Human Resources Information System (HRIS)
  • Utilize SharePoint for document storage where applicable
  • Adhere to document retention/destruction policy
  • Ensure performance evaluations are conducted per policies and procedures
  • Provide written and verbal employment verifications

Training, Reports, & Policies

  • Develop, deploy and analyze employee engagement survey (bi-annually)
  • Update policies and procedures manual as needed (quarterly)
  • Manage separation process
    • Facilitate BambooHR process
    • Write separation announcement, deploy via BambooHR
    • Schedule and conduct exit interviews
  • Partner with departmental leaders and/or subject matter experts to assess, diagnose, plan, identify, and design prioritized learning solutions; assist with developing practical metrics to evaluate effectiveness
  • Proactively identify opportunities to leverage technology, improve processes and enhance relationships to improve the organization's success
  • Assist continuous improvement efforts through construction, distribution, and analysis of learning evaluations; produce summary reports of participant feedback and provide suggestions to leadership based on feedback.
  • Track employee anniversary dates for recognition of years of service
  • Other duties as assigned

Qualifications

  • 3-5 years of Human Resources experience; solid understanding of HR functions and processes is a must
  • Bachelor's degree in Human Resources, Business, or an equivalent combination of relevant education and/or experience preferred
  • PHR/SHRM certification preferred
  • Proficient with relevant Microsoft software programs (Word, Publisher, Excel, PowerPoint, SharePoint, etc.)
  • Ability to assess and analyze business needs and conceptualize creative solutions
  • Ability to work as part of a team and strong customer focus are essential
  • Strong communication (i.e., verbal and written) and inter-personal skills
  • Ability to maintain confidentiality, remain flexible and adaptable
  • Strong organizational skills and attention to details
  • Self-directed and able to meet deadlines
  • Clean driving record
  • Dependable with good attendance

Physical Requirements:

  • Occasional traversing throughout assigned building(s)
  • Often sitting or standing for extended periods
  • Moderate lifting or moving up to 50 pounds
  • Manual dexterity to use office equipment
  • Ability to write legibly
  • Ability to communicate clearly, concisely, and timely.
