The Alexander in Miami Beach, FL is seeking a talented, motivated, and outgoing individual to join our Front Office team. This individual will be expected to ensure that all hotel guests’ needs, questions, or concerns are met while assisting with owner operations, front desk activities and day-to-day procedures.

What we will ask of you:

  • Meet with owners as needed, answers and respond to phone calls and emails in a timely manner.
  • Able to be proactive and take initiative; creatively problem solves, exercises good judgment; attention to detail; anticipates and exceeds guest expectations.
  • Assist in booking owner reservations as well as plan and coordinate owner receptions.
  • Plan and coordinate owner related events on behalf of the hotel as needed.
  • Process new owner paperwork, cards and permits and create new owner packets and new owner files; maintain confidential owner records.
  • Work within owner relations software to confirm reservations, check unit availability, income statements, tax information, and calendars.
  • Distribute communications to owners via email and mail regarding reservation confirmation, arrival newsletters, reservation changes, promotions, occupancy, repairs, upgrades, and other information as needed. Update owner website with like information as needed.
  • Maintain knowledge of hotel products, services, and facilities.
  • Communicate effectively with leaders and team members regarding day-to-day operations.
  • Maintains regular and consistent attendance and punctuality.
  • Strive to maintain personal, staff and guest safety. Reporting any incidents in a timely manner.
  • Responsible for knowing hotel emergency procedures.
  • Maintain a good working relationship with other departments and assist where needed.
  • Maintain a neat and organized work area.
  • Attend required training and meetings.
  • All other tasks assigned.
Requirements:

Skills

  • Proficiency in Microsoft Word, Outlook and Excel preferred.
  • Strong written, verbal, and interpersonal skills.
  • Organizational, multitasking and time management skills.
  • Must have mobility to walk through the front and back of the hotel, up and down stairs.
  • Must be able to stand or sit for long periods of time.
  • Fluency in both English and Spanish highly desirable

Education/Formal Training and Experience

High school diploma (or GED). Additional education, training, or certification preferred. 1-2 years guest services preferred.

Material/Equipment Used

Computer and Office Applications, Hospitality Software.

Physical Requirements:

  • Availability to work evenings, weekends, and holidays, as needed
  • Ability to work an average of 40 hours a week
  • Ability to stand and walk 90% of the time
  • Occasional stooping, kneeling, or crawling
  • Occasional pushing, pulling, lifting, or carrying up to 40 lbs
  • Occasional ascending or descending ladders, stairs, ramps
  • Constant receiving detailed information through oral and written communication
  • Constant talking, expressing, or exchanging ideas by means of the spoken word in English
