The Contract Billing Clerk role is part of the Contract Services department. The Contract Billing Clerk is responsible for processing customer invoices in accordance with contracted billing prices and instructions. The position serves as the primary point of contact between the Contract Services and Accounting departments, and clients. The position is responsible to ensure customers received accurate and timely invoices. The Contract Billing Clerk performs various clerical and technical accounting duties to ensure accuracy and efficiency in invoice processing. This role requires someone who is detail oriented, has analytic thought and deadline driven. This position requires regular interaction with the Accounting department.

Customer Invoice Processing


  • Create, validate, input, and send various customer invoices via paper, email and electronic billing software platforms
  • Review records, forms and other documents for accuracy and completeness to ensure accurate invoice amounts, research and follow-up on any discrepancies
  • Simultaneously utilize multiple internal and external systems for invoicing
  • Research and resolve invoice issues, including those related to rejected and/or cancelled invoices
  • Respond to client inquiries in a professional and timely manner
  • Work in conjunction with the Accounting dept. with research and application of payments
  • Manage variable workload to ensure client and internal established deadlines are met
  • Ensure soft copy documentation and shared department files are maintained timely and accurately
  • Follow all proper policies, procedures, and instructions for assigned work
  • Build positive relationships with clients
  • Maintain Standard Operating Procedures (SOP) documentation
  • Review Aging reports and provide past due information to department manager


Teamwork


  • Work collaboratively with other internal departments (i.e., Accounting, Finance)
  • Contribute to the overall workload to accomplish business and department goals
  • Communicate respectfully and build positive work relationships within and outside of the
  • Contract Services department


Other

  • Other duties as assigned


Experience


  • High School diploma or general education degree
  • Two plus years of demonstrated customer service
  • Two plus years of billing/clerical data entry experience in logistics, financial or healthcare industries desired


Knowledge


  • Demonstrated knowledge of invoicing/accounting practices
  • Proficient in Microsoft Office software including Word, Excel and Outlook
  • Background in creating and sustaining business relationships and providing excellent customer service
  • Prior experience with NetSuite a plus
