Construction and Maintenance Administrative Assistant

BFS Companies, Inc. is now hiring a Construction and Maintenance Administrative Assistant. You will assist with a variety of tasks in our Construction and Facilities Maintenance Department. The ideal candidate will have great computer, administrative, communication, and time management skills. Previous experience in the construction industry is preferred, but not required. The position is based out of our Morgantown, WV corporate office.

In this role, you will manage the administrative aspects of construction projects. Including but not limited to the following:

  • Obtaining, organizing, processing and filing necessary documentation, e.g. permits, contracts, purchase orders, submittals, invoices, billings, and etc.
  • Provide administrative support to the construction manager and facilities maintenance manager.
  • Act as a point of contact for vendors, subcontractors, various construction services teams, and maintenance service technicians
  • Assisting in bidding process by contacting subcontractors and vendors to get bid proposals for the estimators.
  • Assisting the construction manager with tracking the status of projects, including schedule, change orders, and etc.
  • Assisting the maintenance manager with tracking the status of maintenance tickets
  • Office administrative tasks, including but not limited to answering phone calls, filing documents, typing, copying, and other administrative tasks to special projects as requested.
  • Other tasks assigned by the supervisors.

We expect an ideal candidate to have the following skills and qualifications:

  • 1+ years of commercial contracting administrative experience preferred.
  • Attention to details.
  • Good communication and organization skills.
  • Be a team player and willing to help other coworkers.
  • Can read plans and specs will be a plus.
  • Proficient with Excel, Word, and Outlook.
  • Strong typing and computer skills.
  • Excellent at multi-tasking and shows strong attention to detail.
  • High school diploma is required - additional college such as an associate’s degree or bachelor’s degree is very valuable

Perform such similar, comparable, or related duties as may be required or assigned.

Job Type: Full-time

Pay: $16.00 - $20.00 per hour
