Job Summary
This position provides executive-level administrative assistance and support for the Associate Vice President for Student Life ( AVP ). This position has regular interaction and touch points with direct reports to the AVP including Center for Diversity & Inclusion, Fraternity & Sorority Life, Student Involvement and Student Recreation and Wellness. The also supports family programming and a number of major campus events coordinated by the AVP . Provides guidance to students, families, faculty and staff related to engagement and connecting to appropriate campus resources. Responds to inquiries and drafts correspondence on behalf of the AVP . Oversee and assist the AVP in the management of Student Life budget; including purchase orders and travel. Manages daily operations for the AVP including scheduling, calendar and Student Life website updates. Serves as backup for the Executive Assistant to the Vice President for Student Affairs as needed. A high level of confidentiality is expected as this position manages and prepares sensitive documents for the AVP . Works closely with the Student Finance Committee of the Student Government Association. This position is highly collaborative and manages multiple projects and competing priorities daily. A growth mindset, resourcefulness and customer service are expected.

Required Qualifications

Experience providing administrative support in an office setting.

Experience researching and preparing confidential and sensitive documents.

Requires demonstrated skills in organization and efficiency and the ability to organize and schedule various projects and activities.

Working knowledge of budget management and general office practices.

Demonstrated proficiency in computer software applications Microsoft Word, Excel, PowerPoint and Visio.

Experience with calendaring in Microsoft Outlook.

Demonstrated problem-solving skills with proven record of effective application in daily office operations.

Knowledge and understanding of elements of event planning.

Proven ability to work independently and as part of effective team, make decisions, maintain confidentiality and meet deadlines.

Excellent communication skills, both written, verbal and non-verbal.

Proven ability to work with a diverse population.

Strong editing and proofreading skills.

Preferred Qualifications

Knowledge of state and university policies and procedures.

Experience in higher education with experience in an office environment that works with confidential and sensitive information and situations.

Experience in website management.

Experience in event planning.

Experience with online communication platforms and social media.

Working knowledge of Banner and eVA
