The Research Foundation for Mental Hygiene, Inc is seeking a full time Administrative Assistant.

The ACT Institute is located at the Center for Practice Innovations, New York State Psychiatric Institute, and Columbia University. The ACT Institute provides training and implementation support for 108 ACT teams (soon to be 122 teams) across New York State, state agencies; local government agencies, and over 1,000 provider agencies across NY State. The mission of the ACT Institute is to promote the widespread availability of evidence-based practices to improve behavioral health services, ensure accountability, and promote recovery-oriented outcomes for ACT Participants and their families/natural supports.

The Administrative Assistant provides support to the ACT Administrative Coordinator in the coordination of the ACT Institute training/ implementation activities, scheduling of the ACT Institute activities including event planning, making travel arrangements for ACT Staff, and overall communication with all Stakeholders.

This position requires a highly organized incumbent with excellent data, administrative and communication skills, who can work effectively with a diverse group of stakeholders across state and city government, behavioral health providers from all relevant disciplines, internal CPI and NYSPI units and departments, and external vendors. This job can be done fully remote or as a hybrid position.


Duties and Responsibilities:

The Administrative Assistant provides reports directly to the Director of the ACT Institute and the ACT administrative coordinator and will also work closely with the CPI's Director of the Online Assistance Unit on matters related to the ACT Institute's website pages and the CPI learning management system.

Duties are related to the management of the ACT Institute and include (but are not limited to)

  • Coordinate communication among ACT Institute's internal and external stakeholders
  • Coordinate all training activities with implementation specialists and trainers and facilitate communication with the Online Assistants Unit
  • Manage ACT Institute inbox
  • Designing and creating marketing materials (in print and online concepts) for ACT Institute training offerings
  • Maintaining ACT provider lists
  • Web-based data entry.
  • Writing/editing newsletters and news briefs
  • Updating web pages
  • Working with and responding to requests from outside State agencies, county government, provider agencies, participants, and family groups; consultants, training groups, and Center staff
  • Planning (scheduling, obtaining meeting/conference spaces, arranging for food, managing invoices);
  • Travel arrangement
  • Ordering supplies and processing bills


Minimum Qualifications:

  • Bachelor's degree, or equivalent related experience
  • 1 year of administrative support experience.
  • 6 month's experience with Microsoft Office (Outlook, Word, Excel, PowerPoint, Publisher) and Adobe Acrobat Pro.


Preferred Qualifications:

  • 3 months experience with email marketing software (e.g., Campayn), data collection and visualization software (e.g., Qualtrics and Tableau)
  • Prefer a candidate with a background in behavioral health.
