The Global Strategy and Planning Unit sits between and across the Global Policy and Advocacy Departments, serving as a unifying function to establish and maintain strategic alignment, functional efficiencies, positive and cohesive team environment, and a clear set of priorities across both departments. Specifically, this unit ensures that both Departments are using the same streamlined set of planning tools and processes, setting shared and collaborative priorities, working towards shared and unique goals and objectives as teams with role clarity, conducting discrete and joint strategic planning, and tracking and reporting progress concurrently.
Job Overview/Summary: The Global Policy and Advocacy (P&A) Administration Assistant supports a diverse and critical range of administrative and logistical tasks for the Vice Presidents of Advocacy & Influence and Policy & Solutions. The Administration Assistant reports to the Senior Director for Global Strategy and Planning, works closely with colleagues in offices across the U.S. and Europe, and liaises with external parties. This is a central role for team administration. This person will maintain crucial relationships and collaborate at all levels within and across the teams and across the IRC in support of both Department Vice Presidents. The Administration Assistant position offers the chance to work with a dynamic group of humanitarian professionals and policy experts in a fast-paced, stimulating and exciting environment.
Major Responsibilities:
- Administrative Support: Provide hands-on support to manage high-level internal and external calendar scheduling for both VPs. Serve as interlocutor with partners seeking meetings as needed. Arrange meeting and travel logistics for VPs as needed. Manage VP expense tracking and payment.
- Team Functions: Maintain team calendar and related scheduling and planning. Handle logistics of and VP engagement in team activities and processes.
- Team Coordination and Collaboration: Gather VP inputs for team reporting, communication and organizational processes. Assist with management of communication channels and files. Support management of tasks and activities of VPs, highlighting and tracking demands.
- Meeting and Event Logistics: Work closely with the Department Manager and Office Administrators in Washington, DC, London, New York, Brussels and Berlin to arrange leadership visits relevant to P&A activities and objective. Coordinate the logistics for various appointments, meetings, conference calls and other special events being hosted by the Policy and/or Advocacy teams.
- HR Coordination: Coordinate VP participation in HR processes related to new hires, staff changes and staff departures.
- Steward Gender, Equality, Diversity and Inclusion Efforts: Ensure P&A teams operate in alignment with diversity, equity and inclusion expectations of IRC, and actively support P&A team GEDI efforts and culture. Facilitate VP engagement and leadership in team and organization-wide GEDI actions and planning.
- Teamwork: Support and promote a positive team culture by acting openly and collaboratively, supporting colleagues in their work and sharing credit with other where appropriate. Help develop and facilitate plans and activities to promote a positive and inclusive team environment.

External: Coordinate with event spaces and contractors, NGOs, think tanks, U.S. government agencies, Congress, multilateral institutions and other organizations as needed.
Work Experience: 2 years work experience preferred. Administrative experience, or experience managing schedules and coordinating logistics for events or high-level individuals preferred.
Demonstrated Skills and Competencies:
- Excellent organizational and time management skills, including juggling competing demands and timelines and prioritizing tasks appropriately
- Positive, resourceful and flexible approach with ability to problem solve, work productively both in a team environment or independently as needed, and take initiative in a fast-faced environment
- Proven attention to detail
- Strong project management skills
- Solid English language writing, editing, and research skills with a focus on details, including ability to learn and apply IRC style guidelines
- Excellent interpersonal and oral communications skills
- Familiarity with or demonstrated interest in humanitarian aid sector, foreign policy, and/or refugee issues
- Ability to use sound judgment in maintaining confidential information
- Fluency in Microsoft Outlook, Word, Excel and PowerPoint, and ability to learn online web-based applications
- Ambition to develop knowledge by taking on ambitious tasks, and mastering sophisticated content and concepts
- Dedication to advancing equity, diversity, and inclusion at the IRC and in the field more broadly
- Lived experience with conflict or crisis-driven displacement, resettlement, asylum, immigration or migration is an asset in this role
Working Environment: Standard office work environment. Up to 5% travel may be required.
